Procedure

In order to make a booking enquiry please download our booking form using the link on the left. An accurate quotation depends on all sections being completed accurately.

It will be useful to look at our Events and Bookings Calendar to check for availability. Please bear in mind that one part of the Hall may be available whilst another is in use and that that Calendar is a guide rather than being definitive. In the end the Booking Secretary has the most up to date information.

Fees for Hall Lets and Equipment Hire

The latest schedule of fees may be downloaded from the links on the right.

Please note that special arrangements may be made for regular lets, ENKCA members and Charities.

As presented the fees give a reasonable guide but for an accurate quotation you will need to submit a booking form, also available from the link on the right. You may wish to view the Hall and consult with an ENKCA representative before finalising your booking.

Wedding / Function Charge

Please contact us and submit a booking form so that we can give you an accurate quotation for a wedding / large function. We generally charge so that you may have exclusive use of the venue for a period of 48 hours.

Kitchen Hire Charges

Charges will be agreed on basis of requirements and may include use of the room at a lower rate for plating pre-prepared food or at a higher rate to function as a fully equipped food preparation facility. These correspond to Kitchen use 1 and Kitchen use 2 in the schedule of charges.

Bar Hire Charges

Charges will be agreed on basis of requirements and may include use of the room at a lower rate as an adjunct to the kitchen, or at a higher rate to function as a fully equipped bar with glassware, optics and other facilities. These correspond to Bar use 1 and Bar use 2 in the schedule of charges.

Deposits against breakages, damage, cleaning charges etc

Depending on the nature of your event you may be required to place a deposit refundable in the event no damage occurs.

A list of charges made for breakages, based on replacement costs, is available on request.

The returnable deposit may be a charge of either –

  1. 25% of total hire cost (or nearest rounded figure) or
  2. A figure to be decided at the discretion of the Directors which will be advised at time of booking

The deposit is payable at the time the booking is confirmed and prior to keys being issued. The deposit to be refunded in total or in part (should there be damage or breakages) – no later than 2 weeks after the date of the event.

An additional Cleaning deposit may be applied if a hire is for a period of more than 3 hours. This may be refundable if cleaning is not required.

Visits to hall prior to an event.

Hire charges are for 3 visits, if required, to the hall prior to the event. As the hall is run by local volunteers, visits must be organized in advance with the ENKCA representative and will arranged at mutually convenient times.

The purpose of these visits is generally:

  • an initial visit to the hall to view the facility
  • a planning meeting when arrangements are agreed with the ENKCA representative taking the booking. During this visit the event organizer / responsible person will be given Fire Safety Awareness training and instruction on related matters necessary to the operation of the hall.
  • one further planning visit – should this be deemed necessary by the hirer – to check details / make any further arrangements etc.

If any further meetings / access to the hall prior to an event is required by the event organiser or someone acting on their behalf (eg a caterer to view facilities) there will be a minimum attendance charge levied (level of charge will be dependent on time involved).

Booking Fee

A fee of £20 or 20% of hire charge (whichever is the larger) will be charged at time of booking. This amount will be deducted from the final hire fee payable.

Late Cancellation Fee

In the case of late cancellation of an event (following full payment) there may be retention of an administration charge from any refund of monies paid.

Internet Access

There is internet access at the Hall sufficient for most purposes short of internet video streaming. Video streaming can normally be achieved but not at high resolutions.

Please note however that we are in a rural area and we make no guarantee that internet access will be uninterrupted or that high speeds can be obtained. If such continuous access is essential to your purpose you may wish to ensure you have access through a cellular modem or by tethering to a cellphone.
